Free Invoice Generator — Print or Save as PDF
Build a clean, professional invoice in your browser: your details and your client's, line items with quantity and rate, tax, discount, shipping, notes and payment terms. Pick from eight currencies, drop in your logo, and print straight to PDF. Your draft is saved on this device — nothing is ever uploaded.
Private by design. The invoice, your logo and your saved draft stay in your browser — nothing is uploaded to a server.
What a US invoice must actually include
There is no federal invoice template in the US, but a few fields are what make an invoice enforceable, payable, and defensible in an audit. Everything below is a field this generator gives you.
| Element | Why it belongs on the invoice | Where it goes here |
|---|---|---|
| The word "Invoice" | Distinguishes a demand for payment from a quote, estimate or receipt — this matters if you ever have to chase the debt | Printed in the masthead automatically |
| Unique invoice number | Required for your own books and for the client's accounts-payable system; duplicates get rejected or double-paid | Invoice # — auto-increments on each new invoice |
| Issue date and due date | Sets the clock for late fees and determines which tax period the income falls into | Issue date / Due date, defaulting to net 14 |
| Your legal name, address and tax ID | The client needs it to issue a 1099 and to prove who they paid; an EIN or SSN belongs here for US contractors | From field (free-form, multi-line) |
| Client name and billing address | Wrong entity name is the most common reason an invoice is bounced back unpaid | Bill to field |
| Itemized description, quantity and rate | Vague single-line invoices are the ones that get queried; itemization is also what substantiates a deduction | Line items table |
| Subtotal, tax, total due | Sales tax must be shown separately where you are required to collect it — bundling it into the total is a compliance problem | Totals block, with a renameable tax label |
| Payment terms and method | Net 30 with no stated method is how invoices sit unpaid; say how and by when | Payment terms field |
- Most US freelancers do not charge sales tax on services, but rules are state-specific and several states do tax certain services — check your state before setting a rate. Cross-border work may need a VAT or GST line instead, which is why the tax label is editable.
- Keep a copy of every invoice you issue. This tool prints one invoice at a time and does not archive them, so save the PDF somewhere you can find it at tax time.
How to create an invoice online for free
- Fill in who is billing whom. Add your business name and address on the left, your client's details under Bill to. Optionally add a logo — it stays in this browser tab and is never uploaded.
- Add your line items. One row per item: description, quantity and rate. The amount, subtotal and total update as you type. Add as many rows as you need.
- Set tax, discount and terms. Enter a tax percentage (rename it to VAT or GST if you like), an optional discount percentage, and any shipping or fees. Discount comes off the subtotal, tax applies to the discounted amount, shipping is added last.
- Print or save as PDF. Click Print / Save as PDF and choose "Save as PDF" as the destination. Only the invoice sheet prints — the form, site header and footer are hidden.
Frequently Asked Questions
- Is this really free, and do I need an account?
- Yes and no — the generator is completely free with no sign-up, no watermark, no invoice limit, and no email required.
- Is my invoice data uploaded anywhere?
- No. Everything runs in your browser. Your draft is stored in this browser's local storage on this device only, so it survives a page reload but never reaches a server.
- How do I get a PDF instead of a paper printout?
- Click Print / Save as PDF, then pick "Save as PDF" (Chrome, Edge, Firefox) or "PDF → Save as PDF" (Safari) as the printer destination. The saved file is a true PDF, not a screenshot.
- What does my logo do — is it uploaded?
- The logo is read straight from your disk into this browser tab as a temporary object URL. It is never uploaded and, because it is not stored, it is cleared when you reload — re-add it if you need it on the next invoice.
- How are tax and discount calculated?
- Discount is taken off the subtotal first, tax is charged on the discounted amount, and shipping or fees are added after tax. All amounts round half-up to two decimals, so the printed totals always add up.
- Can I reuse my details for the next invoice?
- Yes. "New invoice" clears the client, line items and notes but keeps your business details, currency and tax rate, and bumps the invoice number — INV-0007 becomes INV-0008.
